Cancellation & Refund Policy

At VPL Travels, we aim to provide transparent, fair, and hassle-free booking, cancellation, and refund processes for all our customers. We understand that plans can change, and this Cancellation & Refund Policy explains how cancellations are handled and how refunds are processed for our vehicle rental and tour services.

Please read this policy carefully before confirming your booking.

1. Vehicle Reservation & Advance Payment

  • To confirm your booking, an advance amount (usually around 30% of the estimated trip cost) is collected as a booking deposit.
  • This deposit is used to block the vehicle and driver for your chosen date, time, and route.
  • Cancellation charges, if any, are calculated on this deposit amount, not on the full booking value unless otherwise specified at the time of booking.

2. Cancellation Policy

2.1 Free & Chargeable Cancellation Window

2.2 No-Show Policy

A booking is treated as a No-Show when any of the following happens:

  • You do not inform us of cancellation before the reporting time.
  • The traveller fails to report at the boarding/pick-up point.
  • Required confirmations or documents (if any) are not provided in time.

Important points:

  • Informing any person other than our official contact numbers or office team will not be considered a valid cancellation.
  • No-show bookings may result in full forfeiture of the booking deposit, and no refund may be applicable.

2.3 Cancellation After Vehicle Departure

  • If you cancel after the vehicle has left our garage or while it is en route to the reporting point, applicable cancellation charges will be higher and may include garage-to-garage running, driver bata, and a portion or full booking deposit.
  • If the vehicle reaches the reporting location and service cannot be started due to customer reasons (delay, change of mind, missing passenger, etc.), cancellation will be treated as a no-show or last-minute cancellation as per our policy.

3. Refund Policy

Refunds (where applicable) are processed primarily on the booking deposit paid to VPL Travels. The exact refund amount depends on when we receive your valid cancellation request.

3.1 Standard Refund Deduction Timeline

You can adopt a simple slab system like this:

  • More than 28 days before the travel date:
    Up to 25% of the deposit may be deducted as administrative and blocking charges; balance deposit is refundable.
  • Between 28 days and 48 hours before travel:
    Up to 50% of the deposit may be deducted; balance deposit is refundable.
  • Less than 48 hours before travel or No Show:
    Up to 100% of the deposit may be charged as cancellation fees and no refund may be applicable.

Any special terms shared in writing (for peak season, wedding bookings, or bulk corporate bookings) will override these standard timelines.

3.2 Important Notes on Refunds

  • Refunds are initiated only after verifying your cancellation request against booking details and applicable terms.
  • Refund processing time can vary based on your payment method (UPI, bank transfer, card, etc.) and the policies of payment gateways and banks.
  • Where third-party charges (hotel, toll, special permits, etc.) have already been paid and are non-refundable, such amounts will be adjusted before calculating the final refund.
  • To minimize cancellation charges, customers are encouraged to inform us as early as possible if there is any change in their plans.
