2. Vehicle Rental – Terms & Conditions

These terms apply to all vehicle rentals, including cars, vans, tempo travellers, minibuses, and buses booked through VPL Travels.

2.1 Tariff and Distance Calculation

  • Kilometres and hours are calculated from our garage to our garage (pick-up to drop back), not from your boarding point alone.
  • Minimum usage or package limits will be clearly informed at the time of booking (for example, 4 hours/40 km, 8 hours/80 km, or outstation calendar day packages).
  • Any usage beyond the agreed package (extra kilometres or extra hours) will be charged as per the applicable extra rates communicated during booking.

2.2 Inclusions and Exclusions

  • Tariff generally includes vehicle rental and driver service charges only, unless otherwise specified in writing.
  • Tolls, parking charges, state entry permits, inter-state taxes, and similar charges are normally payable by the customer.
  • Any accommodation, food, or other personal expenses of passengers are not included in the rental cost.

2.3 Driver Bata and Night Charges

  • Driver bata (allowance) is charged on a calendar-day basis or as per the applicable package, and will be communicated at the time of booking.
  • Additional night charges may apply for late-night or early-morning usage beyond specified timings.

2.4 Rate Revisions

  • All rates are subject to change without prior notice due to variations in fuel prices, taxes, or operational costs.
  • It is your responsibility to confirm the current tariff and terms at the time of booking and before the trip starts.

2.5 Booking, Advance, and Payment

  • A booking is treated as confirmed only after payment of the required advance amount and our confirmation via call, email, WhatsApp, or SMS.
  • Standard advance: [e.g., 30-50%] of the estimated trip cost, unless specified differently.
  • Balance payment must be settled as informed – typically before trip start or immediately after completion, depending on the trip type.
  • Payments can be made through approved modes such as UPI, bank transfer, card, or cash, as communicated by VPL Travels.

2.6 Vehicle Type and Availability

  • Vehicle models, seating capacity, luggage space, and facilities are subject to availability at the time of booking.
  • We reserve the right to provide an equivalent or higher-category vehicle in case the originally requested model is unavailable, without additional charge to you for an upgrade.

2.7 Cancellation and No-Show

  • Cancellations must be communicated via call, WhatsApp, or email, quoting your booking details.
  • Standard cancellation terms (suggested – adjust as per your policy):
    • Cancellation before vehicle reporting/dispatch: partial or full refund of advance, as per agreed terms.
    • Cancellation after vehicle has left our garage or on arrival with no show: cancellation charges will apply and part or full advance may be forfeited.
  • Any specific cancellation terms agreed at the time of booking will override the general terms above.

2.8 Customer Conduct and Responsibilities

  • You are responsible for ensuring that passengers behave in a safe and respectful manner and do not damage the vehicle or disturb the driver.
  • Smoking, consumption of alcohol, or carrying illegal substances in the vehicle is strictly prohibited and may result in immediate termination of service without refund.
  • In case of any damage to the vehicle due to negligence or misconduct by passengers, the cost of repair will be borne by the customer.

2.9 Delays and Unforeseen Events

  • While we strive to be punctual, VPL Travels is not responsible for delays caused by traffic, weather, road conditions, breakdowns, accidents, or any other events beyond our control.
  • Itinerary or route changes due to such conditions may be necessary, and we will make reasonable efforts to complete the trip in the best and safest possible way.

3. Tour Packages – Terms & Conditions

These terms apply to fixed tour packages that include vehicle services and, where applicable, hotel stays or sightseeing arrangements.

3.1 Booking and Payment

  • To confirm a tour package, a non-refundable advance of [e.g., 30%] of the package cost is generally required.
  • The remaining balance must be paid before departure or as per the payment schedule provided at the time of booking.

3.2 Inclusions and Exclusions

  • Package rates may vary during weekends, festive seasons, holidays, and peak travel periods. Higher tariffs may apply during such times.
  • Fuel price changes, hotel category selection, and last-minute changes may also affect final package cost. Please confirm the final price before you proceed with booking.

3.4 Hotel Booking Policy

  • Once a hotel is confirmed and booked as per your approval, cancellation or refund of the hotel portion is subject to the hotel’s own policy, which may involve partial or full retention.
  • Any changes in room type, number of rooms, or travel dates may result in revised pricing and availability.

3.5 Cancellations and Changes

  • Cancellation charges for tour packages will depend on how many days before departure the cancellation is made and on third-party (hotel, activity) policies.
  • Itinerary changes may be required due to weather, local conditions, or operational reasons. We reserve the right to alter the itinerary while attempting to provide similar or equivalent services.

3.6 Liability

  • VPL Travels will not be responsible for any loss, damage, injury, or delay caused by factors beyond our control, including but not limited to natural calamities, strikes, accidents, or government restrictions.
  • Our liability, in any case, is limited to the amount paid to us for the specific service in question, and we are not liable for any indirect or consequential losses.
